Position Description An Administrative Assistant/Church Treasurer shall serve as the internal accountant for the Church and shall assist the Pastor in the care and oversight of the Church and its membership.
The church bookkeeper/treasurer shall be responsible for and shall maintain oversight of all financial and business transactions of the church.

Administrative Assistant Overview:

Under the supervision of the Pastor and in collaboration with the other staff, perform general office work.
Responsibilities:
Keep church staff informed of members' needs such as deaths, illness, and other crises.
Answer the phone and screen calls for staff per their direction.
Maintain supplies and various files, as well as keep records and compile them into periodic or occasional reports.
Accuracy and attention to detail are a must.
Filing:
sermons, reports, correspondence, and other assigned materials.
Exercise tact, courtesy, confidentiality, and diplomacy in receiving callers, in person or by telephone; keep a calendar of appointments.
Transcribe dictation; type letters or other documents as needed; and use word processing software as needed.

Make outgoing calls, such as ordering materials or supplies; pick up supplies as needed.
Prepare and maintain mailing lists and church rosters.

Duties and
Responsibilities:
Provide leadership, in a Christian manner, to areas involving church office functions, including the management and administration of financial and business relationships with members, staff, congregations, and the public.
Maintain complete and accurate records of all church financial, employment, and business transactions.
Assure that all financial, employment, and business records and all transaction data are correctly, accurately, and timely documented and maintained.
Work with the chair of Finance for the Church to annually assess internal control aspects of the Church's accounting system.
Work with the chair of Finance to obtain an annual audit that encompasses all cash accounts of the church.
Document the people authorized to sign checks for all the church's accounts.
Enter all invoices submitted for payment, cut checks, submit them to the appropriate trustee for signature, and prepare for mailing.
Balance and reconcile your checking account and investment accounts and submit them for review.
Submit to the Finance Chair a list of all checks written during the month.
Prepare monthly reports for the Finance Committee.

Prepare monthly, quarterly, and yearly payroll tax forms and make necessary deposits; also prepare W-2s and 1099's at year-end.
Prepare a yearly budget draft for review and adoption by the Church Council.
Prepare for and cooperate with those appointed to perform a yearly audit of financial records.
Prepare and submit financial reports to the Conference, Trustees, and Finance Committees as needed.
Attend all Church Council, Leadership Council, and Finance Committee meetings.
Attend and participate in church staff meetings weekly and share in other related administrative functions as requested by the pastor.
Work with the Staff Parish Relations Committee and Pastor to develop an annual plan for continuing education (with emphasis on training available through RHNC, whether by the Conference or District).
Perform other duties as assigned by the pastor or staff member of the parish relations committee.
Requirements:
A minimum of an associate degree in accounting from an accredited educational institution.

Practical experience in fund-based accounting and account reconciliation, preferably in a church or church-related institution.
Proficiency in computer skills, including MS Word, Excel, and Access and specific fund-based accounting software.
