Job Description:
Construction Administrative Assistant Position Overview:
The Construction Administrative Assistant provides vital administrative support to the construction team and ensures the smooth operation of construction projects.
They play a crucial role in coordinating various administrative tasks and maintaining effective communication among team members, subcontractors, and other stakeholders.
This position requires excellent organizational, communication, multitasking skills and strong attention to detail.
Responsibilities:
1.
Document Management:
Maintain and organize project documents, including contracts, permits, plans, specifications, and correspondence.
Ensure all documents are accurately filed and easily accessible for reference.
2.
Correspondence and Communication:
Assist in handling incoming and outgoing communications, including phone calls, emails, and written correspondence.
Facilitate effective communication between the construction team, clients, subcontractors, and other stakeholders.
3.
Scheduling and Calendar Management:
Coordinate project schedules and assist in maintaining construction calendars.
Schedule meetings, appointments, and site visits for the construction team, ensuring efficient time management.
4.
Meeting Support:
Prepare meeting agendas, take minutes, and distribute meeting materials.
Schedule and coordinate meetings, conferences, and training sessions.
Follow up on action items and ensure timely completion.
5.
Budget and Expense Management:
Assist with budget tracking, expense reconciliation, and invoice processing.
Monitor project expenses, reconcile invoices, and liaise with the accounting department to ensure accurate financial records.
6.
Permitting and Documentation:
Support the construction team in obtaining necessary permits and approvals.
Assist in preparing permit applications, maintaining records of permits, and ensuring compliance with regulatory requirements.
7.
Subcontractor Coordination:
Assist in coordinating subcontractor activities, including managing contracts, insurance documentation, and certifications.
Maintain a directory of subcontractor contacts and facilitate communication between subcontractors and the construction team.
8.
Project Reporting:
Generate and maintain project reports, including progress updates, construction timelines, and budget summaries.
Compile data and prepare reports for management review and decision-making.
9.
Office Management:
Maintain an organized and efficient office environment.
Order and manage office supplies, equipment, and services as needed.
Ensure proper functioning of office equipment and coordinate repairs or maintenance.
10.
Quality Assurance:
Assist in maintaining quality control procedures and documentation.
Help implement and enforce safety protocols, ensuring compliance with industry standards and regulations.
Qualifications:
- High school diploma or equivalent; additional education or certification in office administration or construction management is a plus.
- Proven experience in an administrative role, preferably in the construction or related industry.
- Proficiency in office software applications, including MS Office (Word, Excel, Outlook, PowerPoint) and project management software.
- Strong organizational skills with the ability to multitask and prioritize tasks effectively.
- Excellent verbal and written communication skills, with attention to detail.
- Familiarity with construction terminology, documents, and processes is advantageous.
- Ability to work independently, take initiative, and solve problems proactively.
- Strong teamwork and interpersonal skills, with the ability to collaborate effectively with diverse stakeholders.
- Knowledge of safety regulations and procedures within the construction industry is desirable.
